OLA LAB Photography respects your privacy and is committed to protecting your personal data. This policy explains what information I collect, why, and how it is used.
1. What data I collect
When you use my contact form or booking calendar:
Name, email address, phone number, and your home address (for at-home sessions).
When you place a booking:
Session preferences, due date, and any notes you choose to share.
Through your use of this website:
Usage data collected automatically through cookies and analytics tools, including Google Analytics and Microsoft Clarity. These tools may record page visits, click behaviour, and approximate location. No personally identifiable information is passed to these services.
2. How I use your data
To respond to your enquiries and manage your booking.
To deliver your gallery and process orders for prints or albums.
To send your booking confirmation, preparation guide, and session-related communications.
To improve the website experience and the services I offer.
To fulfil marketing communications where you have explicitly opted in.
3. How your data is stored
Booking data is stored in Google Calendar and Google Workspace, both of which are GDPR-compliant. Your delivered gallery is hosted on Pixieset, a secure, GDPR-compliant platform.
When you order a printed album or fine art prints, your selected photographs are uploaded to the print lab fulfilling your order. I currently work with Saal Digital and nPhoto, both of which are European print labs operating under GDPR. Only the images you have selected for your final order are shared, and they are used solely for production purposes.
If you subscribe to the OLA LAB newsletter, your email address is managed through Sender (sender.net), a GDPR-compliant email marketing platform. You can unsubscribe at any time using the link in any newsletter email.
Invoices and financial records are shared with my accountant for bookkeeping purposes. This is a legal obligation under Dutch law. Your data is shared only to the extent necessary and is handled confidentially.
Your data is never sold to third parties.
4. How long I keep your data
Booking and contact data: retained for 7 years from the date of your session in accordance with Dutch tax and accounting law (Algemene wet inzake rijksbelastingen).
Gallery data on Pixieset: galleries remain available for 12 months after delivery. After this period they may be archived or deleted. If you need access beyond this window, please contact me.
Marketing consent records: retained until you withdraw consent.
Analytics data: retained according to the standard retention settings of Google Analytics (14 months) and Microsoft Clarity (13 months).
5. Your rights under GDPR
Under the General Data Protection Regulation (GDPR), you have the right to:
Access the personal data I hold about you.
Request correction of inaccurate data.
Request deletion of your data, subject to legal retention obligations.
Withdraw marketing consent at any time without affecting the lawfulness of processing before withdrawal.
Lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) at autoriteitpersoonsgegevens.nl.
